Primary School Outdoor Education (OE) Facilitator and Admin Support

The Outdoor Education Facilitator and Admin Support is responsible for delivery of the Outdoor Education program within the primary school, as well as administrative support across the entire school OE program. 

Roles and responsibilities:

Program Delivery (0.5 LOE):

  • Deliver Outdoor Education curriculum via Outdoor Education Days.
  • Teach technical, ‘hard’ skills (e.g. knot-tying) through outdoor activities.
  • Teach non-technical, ‘soft’ skills (e.g. communication) through outdoor activities.
  • Lead annual, residential camps for grade 4, 5 & 6
  • Facilitate reflection, debriefing, and spiritual development opportunities.
  • Promote student leadership and responsibility through planned outdoor activities.
  • Support students with additional learning, behavioural, or medical needs.
  • Manage student welfare and ensure safe and inclusive participation.
  • Conduct safety briefings, as well as site-specific and activity-specific risk assessments.
  • Write and review risk assessment documentation.
  • Monitor weather, environmental conditions, and operational risks.
  • Coordinate programme-specific training.
  • Maintain safety records and incident reports.
  • Manage medical information and emergency procedures.
  • Produce student workbooks and programme handbooks.
  • Develop camp manuals and operational procedures.
  • Produce staff training resources.
  • Prepare equipment for camps and expeditions.

Administrative responsibilities (0.5 LOE):

  • Manage annual Outdoor Education calendars and schedules for both Primary and Secondary program
  • Coordinate programme timelines and planning processes.
  • Maintain programme records and documentation.
  • Manage participant registrations and programme databases.
  • Prepare programme information and communication materials.
  • Prepare reports and programme evaluations.
  • Communicate with parents regarding Outdoor Education activities, excursions and camps.
  • Organise parent information meetings and information resources, and respond to parent enquiries.
  • Coordinate communication between students, staff, parents, and external providers.
  • In consultation with the Communications Lead, share termly Outdoor Education newsletters, and Outdoor Education social media updates.
  • Coordinate accommodation bookings, and arrange transport and travel logistics, coordinate activity providers and instructors, catering team and provision of food and water.
  • Conduct site visits and reconnaissance trips.
  • Manage consent forms, medical information, and participant documentation.
  • Coordinate staffing arrangements and operational logistics.
  • Source and purchase equipment, teaching resources, and camp materials.
  • Maintain equipment inventories.
  • Manage equipment storage systems.
  • Coordinate equipment servicing and safety inspections.
  • Coordinate DOE Award documentation and reporting.

Qualifications, Skills & Training Required:

  • 3+ years experience delivering Outdoor Education curriculum
  • Relevant qualifications in Outdoor Leadership and Adventurous Activities (e.g. Mountain Leader, Paddlesport Leader etc.). 
  • First Aid Certification (preferred - this can be arranged by the school)
  • Strong organisational skills and ability to juggle multiple priorities simultaneously 
  • Good verbal and written communication skills in English (French and/or Creole helpful)
  • Ability to work independently and follow through on assignments with minimal direction
  • Fluent in use of Google Suite applications
  • Ability to handle confidential matters with discretion
  • Good analytical/critical thinking
